Athletic Operations Assistant

Function of the Job

The Athletic Operations Assistant serves a dual, vital role within the 探花精选 Department and Fitness Center. This position balances administrative support, student-worker supervision, and front-line customer service with the hands-on maintenance, groundskeeping, and preparation of the college鈥檚 athletic facilities. They will ensure all facilities are safe, clean, visually appealing, and fully prepared for daily use, special events, and athletic contests.

Duties and Responsibilities

  • Perform comprehensive administrative duties for the Athletic Director, including managing correspondence, processing departmental forms, fielding inquiries, and streamlining daily office workflows.
  • Partner with the Director to schedule athletic events, reserve facilities, draft and distribute event/official contracts, and confirm details with sports officials prior to contests.
  • Manage the complete lifecycle for athletic department work-study personnel, including interviewing, hiring, onboarding, and scheduling.
  • Direct the daily tasks, assignments, and workflow of student administrative staff to align with athletic department operational standards.
  • Design and prepare promotional materials (brochures, flyers, program guides, and athletic packets) for sports camps, tournaments, and special programs.
  • Maintain and update the official athletic website and monitor sport-specific social media accounts to drive engagement and distribute accurate information.
  • Strictly safeguard student information and academic/athletic records in absolute compliance with FERPA and Student Right to Know regulations.
  • Assist coaches and athletic staff with administrative tasks, including generating team rosters, organizing sign-up sheets, and coordinating pre-game logistics.
  • Formulate and manage the departmental supply strategy; regularly evaluate inventory levels, analyze usage trends, and determine optimal reorder thresholds for athletic equipment and office supplies
  • Audit supply expenditures against the annual administrative budget, evaluate vendor proposals, identify cost-saving opportunities, and recommend adjustments to departmental leadership.
  • Anchor the Fitness Center front desk, managing membership sales, verifying facility usage, and acting as the primary informational resource for students, staff, and visitors.
  • Clearly articulate, educate, and enforce all facility rules, safety guidelines, and operational procedures to patrons.
  • Execute skilled and semi-skilled groundskeeping duties for athletic complexes, including precision mowing, trimming, landscaping, trash removal, and seasonal snow removal.
  • Safely operate and perform routine maintenance on specialized departmental machinery, including tractors, commercial mowers, utility vehicles, field drags, line stripers, and various hand tools.
  • Coordinate seamlessly with coaches, athletic staff, and central campus facilities personnel regarding field conditions, scheduling conflicts, and rigorous event preparation.
  • Assist with broader campus facilities maintenance and operational tasks as assigned by leadership to support the institutional mission.

Personal Interaction

Frequent contact is made with College personnel, faculty, students and the general public in the routine performance of duties and in providing routine departmental services and duties.

Supervision Exercised

Functional supervision is exercised over designated College work study personnel.

Requirements

Education & Experience

  • Required: High school diploma or GED equivalent.
  • Required: 3 to 5 years of successful experience in customer service, athletic operations, facilities maintenance, or an equivalent combination of education and experience.
  • Preferred: Associate degree.
  • Preferred: Prior experience utilizing Banner or equivalent higher-education enterprise resource planning (ERP) software.
  • Preferred: Knowledge of NJCAA rules and regulations.

 

Physical & Environmental Demands

  • Schedule Flexibility: Ability to work a flexible schedule, including required evenings and weekends to support game-day operations and fitness center hours.
  • Stamina: Ability to work comfortably in both indoor office settings and outdoor environments for extended periods across changing weather conditions.
  • Physical Capability: Must be able to lift and carry up to 50 lbs., push and pull up to 75 lbs., and perform frequent stooping, bending, and physical labor associated with field maintenance.
